VRF Air Conditioning System Selection Guide for Sales Offices

Sales offices are temporary, high-end public buildings characterized by large, open layouts, fluctuating customer traffic, 24/7 operation, high requirements for quiet operation and aesthetics, and the potential for future renovation, demolition, or reuse. These characteristics distinguish them from the air conditioning needs of ordinary residential buildings and office buildings. VRF multi-split systems , with their advantages of zoned control, flexible installation, no need for a dedicated server room, and adaptability to irregularly shaped spaces, are among the best air conditioning systems for sales offices.

 


I. Accurate load calculation: Preventing oversized/undersized selection

Load calculation is the core foundation for VRF system selection. Sales offices cannot simply apply general building experience to estimate costs; they need to perform detailed calculations based on the specific characteristics of the scenario, while also making parameter adjustments to avoid energy waste or insufficient cooling or heating.

1. Core load parameter values (specific to the sales office)

The cooling load for typical office spaces is 120-150W/, while sales offices require significantly increased redundancy. Specific zoning standards are as follows:

  • The lobby and negotiation area of the model display are characterized by large open-plan glass curtain walls, high population density, and significant heat generation from lighting equipment. Cooling load is estimated at 220-260 W/m², and heating load at 180-220 W/m². The simultaneous utilization rate is close to 100%, with all staff operating at full capacity during peak hours.
  • Showroom : Enclosed display space, weak insulation from soft furnishings, constant temperature display year-round, cooling load 180-220W/, heating load 160-200W/, requires stable low-load operation 24 hours a day.
  • Office area and tea room : fixed staff, stable load, cooling load 140-160W/, heating load 120-150W/
  • Exterior glass transparent areas : strong solar radiation, requiring an additional 20% load correction to offset the temperature rise caused by direct sunlight.

2. System capacity allocation rules

VRF air conditioning systems require strict control over the ratio of indoor and outdoor unit capacity to adapt to the load fluctuation characteristics of the sales office: the ratio of total indoor unit capacity to outdoor unit capacity should be controlled between 100% and 130% , not exceeding 130% during peak full-load scenarios and not less than 100% during daily low-load demonstration scenarios; the capacity ratio of heat recovery VRF systems should not exceed 115% to avoid excessive system pressure, abnormal energy consumption, or equipment damage. Capacity attenuation corrections should also be made based on pipe length and the height difference between indoor and outdoor units; 5%-10% redundancy should be reserved for scenarios with long pipes and high height differences.

 


II. Model Classification and Selection: Precise Matching by Functional Zone

Based on the different usage needs, ceiling height, and decoration style of different areas of the sales office, indoor unit models are selected in a differentiated manner to balance comfort, aesthetics, and practicality.

1. Lobby and model area (ceiling height 3.5-6m, large open space)

High-volume, four-way air outlet embedded indoor units and high static pressure ducted air conditioners are preferred . These models have long air delivery distances and uniform air circulation, covering large-span spaces and avoiding dead zones in temperature. High static pressure models can be adapted to ceiling duct renovations, and their concealed installation does not disrupt the overall high-end aesthetics of the sales office, while simultaneously meeting the rapid cooling and heating needs of peak customer traffic.

2. Negotiation area and water bar area (quiet environment is essential, core experience area)

We select low static pressure, silent ducted air conditioners and slim, concealed indoor units . We prioritize controlling operating noise, ensuring the equipment's noise level is ≤35dB to prevent fan noise and airflow noise from affecting the customer's negotiation experience. We support independent zone temperature control, allowing for individual adjustment of temperature and fan speed based on customer flow, balancing comfort and energy efficiency.

3. Showroom (constant temperature and humidity, long-term standby)

We select ultra-thin, silent ducted air conditioners and high-end wall-mounted indoor units . The slim design minimizes space usage in the showroom, ensuring excellent concealment. They support precise temperature control (±0.5℃) and can operate stably at low loads for extended periods, preventing temperature fluctuations from affecting the display effect. Some high-end projects can be equipped with small fresh air modules to improve air quality in the enclosed spaces of the showroom.

4. Office and logistics area

Standard ducted or embedded models are sufficient, with cost-effectiveness and ease of maintenance as the core considerations. There is no need to excessively pursue quiet operation and aesthetics; they can meet basic office comfort needs.

 

III. System Type Selection: Matching the Project Operation Cycle

The sales area is designed for two scenarios: short-term temporary use (to be sold out and demolished in 2-3 years) and long-term retention (to be converted into a community clubhouse or property management center), each corresponding to a different type of VRF air conditioning system.

1. Heat pump type VRF system (mainstream and commonly used)

It is suitable for most regions, has both cooling and heating functions, is applicable in all seasons, has a moderate initial investment and controllable energy consumption, meets the daily operating needs of sales offices in all seasons, and is suitable for most temporary and long-term sales office projects.

2. Heat recovery VRF system (preferred for high-end projects)

Suitable for large, multi-zoned high-end sales offices with simultaneous heating and cooling needs, this system enables simultaneous operation of lobby cooling and model room heating, recovering waste heat for reuse and significantly reducing long-term energy consumption. Although the initial investment is slightly higher, the long-term energy-saving advantages are significant, making it suitable for sales offices that are self-owned and intended for long-term retention.

3. Low-temperature high-heat VRF system (exclusively for frigid northern regions)

In low-temperature winter environments, ordinary VRF heating capacity suffers severe attenuation and frequent defrosting. Low-temperature enthalpy-increasing VRF systems are required , which can stably provide heating in low-temperature environments of -20℃ to -30℃ without frequent defrosting shutdowns, ensuring a good customer experience during winter visits.
